    Some of our machines are manufactured and warehoused here in the UK, and they can be delivered, tested and installed within a week or so. Some machines are delivered from overseas, mainly Europe, which can mean around 3-6 weeks.

    Like many businesses, we’re part of a complex supply chain, and problems with parts manufacturing can create unforeseen delays. We will always communicate with you, providing updates and information about order status and delivery times. Once we’ve received your order, we will thoroughly test it, programme it (if necessary), and arrange a delivery and installation time that suits you.

    Where delays are unavoidable, in some cases we may be able to install a temporary loan machine whilst we await your final order.

    Some machines require little more than a bit of space and a power supply; others are much more complicated. Some machines arrive in a box that one person can carry, some are on pallets in multiple units. Cafepoint will work with you to take these things, as well as your timeframe, into consideration before ordering anything. We will work with you to make sure you’re prepared for delivery and installation so you know what to expect and can make appropriate arrangements – whether that’s clearing space, informing security, keeping colleagues away from an area, or coordinating with other teams or suppliers.

We find out as much as possible about your space, facilities and factors like access, power and water supplies so the engineer is prepared before they arrive. Of course, the unexpected sometimes happens, but our engineers love a challenge. If a doorway isn’t quite big enough or a pipe a little too far away, they’ll work with you to solve it there and then if they can.

    There will always be some disruption when large or complicated machines and systems are delivered and installed, but our engineers are the best in the business. They know the machines inside-out and have experienced most problems in their time – there’s not much they can’t handle.

    If you’re dealing with a new space being built or an upgrade to existing facilities, we are used to working with office contractors, designers and fit-out companies, and are happy to deal directly with them to ensure a smooth installation. Where spaces are being built or remodelled, our machines are usually one of the last items to be installed.

    Installation requirements – from the space and access needed to the placing of power and water supplies – will vary greatly from machine to machine. Cafepoint’s sales team have an excellent understanding of what’s needed and what will work for you. In addition, our dedicated site survey team will carry out a thorough inspection to make sure delivery and installation goes as smoothly as possible.

    We’ll arrange a delivery and installation date that works for you, and we’ll advise on what arrangements will be needed on the day, from security and parking to keeping people away from an area whilst our installers work.     There are many levels of service we can offer from a fully-managed service to ad hoc, on-demand call-outs. This incorporates cleaning, testing, servicing and stocking machines, depending on what they require and the frequency of their use. Some coffee, juice and water machines are ‘self-cleaning’, although they will still need some regular checking and maintenance, as well as cleaning externally.

    Maintaining our machines can also involve essential activities like refilling milk and coffee hoppers in coffee machines, restocking fruit in juice machines, or replenishing products in vending machines on a daily-basis.     This is one of the top Cafepoint FAQ. As members of the industry body the AVA, Cafepoint commit to the highest standards of response times. Our engineers will be on-site in response to a reported problem within 4-6 hours, often less for those clients within the M25. They will be fully-briefed on the problem and, where possible, will attend with the parts and tools required.

    Our customer service team is available [times] and will react quickly by phone or email. Cafepoint’s digital fault logging system maintains seamless communication between you, our office and our engineers in the field. We’ll let you know when the engineer is due to arrive and the status of your issue.

    Our engineers will always aim to fix a machine quickly, and ideally in one visit. In some circumstances, for example if we need to order and wait for parts, we may be able to arrange a temporary loan of a machine until we can fix yours.

    Yes, of course. Depending on where you are and what machines you’re looking at, we’ll be happy to arrange for you to see the same or similar systems at one of our other clients’ locations, or we’d love to host you at our London facilities where we can set up the exact machine you want to explore.

    Most machines require plumbing and programming, so a trial at our facilities may be the best option. Some machines, however, just need a power connection, so it might be easier to carry out a demonstration nearer to you. We can also carry our demonstrations over video call – a more convenient, safer option that also means anyone in your organisation can join in.

    We’re also happy to host a coffee tasting for you and your colleagues at your workplace, so you can be sure you’re getting the best flavours for your people.
